01Who we are

Equinox Shift LLC is an operations automation consultancy registered in Delaware, United States. For questions about this policy, write to privacy@equinoxshift.com.

Where we act as a service provider processing data on behalf of a client, that client's own agreement with us governs the processing and this policy applies only to the information we collect for our own purposes.

02Information we collect

We do not ask for special-category data, payment card numbers, or government identifiers through this website.

• Contact details you submit through the enquiry form: name, work email, company, phone number, and anything you write in the message field.
• Engagement information shared with us during an audit or build, including workflow documentation and sample records you choose to provide.
• Basic technical information generated when you load this site, such as IP address and browser type, produced by our hosting provider's standard request logs.

03How we use it

We do not sell personal information and we do not use enquiry data for advertising profiling.

• To reply to your enquiry and schedule a consultation.
• To scope, deliver, and support an engagement you have agreed to.
• To keep records required for accounting, tax, and contractual obligations.
• To protect the site and our systems against abuse and technical failure.

04Legal bases

Where GDPR or comparable law applies, we rely on legitimate interests to respond to business enquiries, contract performance to deliver an engagement, and legal obligation to retain financial records. Where we rely on consent, you can withdraw it at any time.

05Sharing and processors

We share personal information only with service providers that help us operate: website hosting, email, calendar scheduling, and accounting. Each is bound by contract to process data only on our instructions.

We may disclose information where required by law or to establish, exercise, or defend legal claims. We will tell you unless legally prevented from doing so.

06International transfers

Our providers may process data in the United States and the European Union. Where transfers occur from a jurisdiction requiring safeguards, we rely on standard contractual clauses or an equivalent mechanism offered by that provider.

07Retention

• Enquiries that do not become engagements: deleted within 24 months of last contact.
• Engagement records and deliverables: retained for the term of the engagement plus 6 years for contractual and tax purposes, unless you ask for earlier deletion where the law allows.
• Client operational data we processed for a workflow: returned or deleted within 30 days of engagement end, as agreed in the engagement contract.

08Your rights

Send requests to privacy@equinoxshift.com. We respond within 30 days and may ask you to verify your identity first.

• Ask what personal information we hold about you and receive a copy.
• Ask us to correct information that is inaccurate or incomplete.
• Ask us to delete information where we have no ongoing legal or contractual need for it.
• Object to or restrict processing based on legitimate interests.
• Complain to your local data protection authority.

09Security

We use least-privilege access, encrypted transport, multi-factor authentication on business accounts, and documented offboarding when an engagement ends. Our security practices are summarised on the Security page.

10Children

This site is intended for business users. We do not knowingly collect information from anyone under 16.

11Changes to this policy

We update this policy when our practices change and revise the date at the top. This version is effective 18 August 2026.
